Conference Updates for Exhibitors

Set-Up Times:

  • Monday, May 2: 9 AM-5 PM (Vendors are invited to President’s Reception. Please see below for information.) The vendor hall will close at 5PM and no setup will be able to occur after that time.

  • Tuesday, May 3: 7-8 AM (the Vendor hall will not open prior to 7AM for setup)

President’s Reception:

If you will be staying overnight on Monday, May 2, you are invited to our President’s Reception which will be from 6PM-8PM. Room # will be announced to those at Set-Up Monday. This is a chance for you to meet our CLA Executive before the conference begins. There will be drinks and small snacks provided.

Exhibitor Ballroom Open Hours (Final):

  • Tuesday, May 3: 8 AM (doors open for attendees)-5 PM

  • Tuesday, May 3: 4:30-6 PM After Hours Event (optional for vendors to stay)

  • Wednesday, May 4: 8 AM (doors open for attendees)-5PM (Exhibitor Hall closing ceremony will take place Wednesday, May 4th from 2:30-3:00 PM. Optional for vendors to stay until conference end at 5PM)

Exhibitor Ballroom Opening Ceremony:

Tuesday, May 3rd at 8:30 AM, we will hold an opening ceremony for the Exhibitor Ballroom to introduce our attendees to our vendors, explain the exhibitor games, and thank our sponsors.

Exhibits Hall Games:

This year our attendees have a choice of playing a new game in the Exhibitor Hall and we will provide all our vendors with the items to participate. The game is “Duck, Duck, Goose.” Each day of the conference all vendors will be given either a Colored Rubber Duck or a Special Golden Goose (there is only 1 Goose). Attendees will need to find the vendor who holds the Goose and find vendors for each colored duck by playing a game of “Duck, Duck, Goose” or rather, interact with vendors to find out if they hold a colored rubber duck or the special golden goose. Attendees will be able to submit their guess as to the vendor who holds the golden goose each day for a chance to win a grand prize or submit a completed colored duck table for a smaller prize. Tuesday After-Hours Event & Happy Hour:

Tuesday, May 3rd, beginning at 4:30 PM

All attendees and vendors are invited to join us for a After-Hours Event and Happy Hour. Vendors are invited to stay at no additional cost for one free drink and hors d’oeuvres. Though if you wish to participate in the event, there is a $20.00 cost.

While mingling and enjoying our happy hour we invite you to join in our mini-golf fundraiser (pay to play) sponsored by Mobile-Minigolf. Participants will have a chance to play a 9-hole mini-golf game through the exhibitor hall.

Exhibitor Breakfast:

As a thank you to our vendors, we are treating you to a vendors-only HOT BREAKFAST on Wednesday, May 4 from 7:00-8:00 AM. You must have informed us by April 1 if you will be attending this breakfast and how many of your registered vendors will be there. You will get a special ticket for breakfast along with all other paperwork delivered during set-up. You must bring this ticket with you to the breakfast to be admitted. Breakfast will be in Ballroom A (next to Vendor Hall)

Closing Ceremony:

Wednesday, May 4th at 2:30 PM we will hold our closing ceremony for the Exhibitor Hall to thank all of our vendors and sponsors as this is the last “Exclusive Exhibits Time” of the conference. This is also a time where our Exhibits Chairs will be happy to call out any prizes from our vendors if you are holding a prize drawing. All you have to do is let us know ahead of time that you will need us to call out the winner and make sure we have the information or the prize to give out. Our Vendor Hall will be open until the conference ends at 5PM, but this will be the last exclusive exhibitor time.


Masks ARE required during the conference. Exhibit Chairs will have N95 masks available for those that need them at tables #78 and #79. Proof of Vaccination will NOT be required.

Floor Plan:

At this time you should have received your booth number with your confirmation. The published floor plan is included in the program booklet, you may access the PDF HERE.

Special Hotel Conference Room Rates:

Rooms at the Hartford Marriott were offered at a special discounted conference rate up until April 11th. If needing a hotel room, you will need to pay the full rate price if not already booked.

Shipping Information:

Vendors may ship directly to the hotel however they do have guidelines and date requirements. Please read carefully the requirements in the separate attachment “Demers Inbound Shipping and Handling Instructions.” Please direct all shipping/handling questions to the contact on these forms.


Vendors that are not staying overnight and parking in the Convention Center garage will be able to get a voucher from the exhibit chairs each day for a discounted parking rate of $11 per day. If you are planning to stay overnight, the price of parking in the garage will be the regular daily rate of $19 per day.

Conference Check-in:

When you arrive at the Connecticut Convention Center there will be signs to guide you to the Conference on the Ballroom Floor (Floor 6). Exhibitors will check in directly with Alessandra and Kymberlee in the Exhibitor Ballroom. Please find us at tables 78 and 79.

Loading In/Out:
